Job Description

JOB SPEC :
Manager, Project & Executive Support
General duties:
• Act as the important contact between the executives and internal/external department
• Coordinates overall activities with Administrative Team and Senior EA related to the Managing Director and other stakeholders, to help enhance the effectiveness
• Undertake the administrative support of ad-hoc or routine correspondence to MD; aligning scheduling priorities, arrange meetings, takes minutes, provide reminder, travel arrangement, File and document management, specialized analytical support
• Coordinate all the logistics, analyzes problems and decision making with various departments and teams
• Ensure a good understanding of company's culture, policy and business knowledge. Develops and maintains good relationships with key stakeholders and each department
• Ensure protection of confidential information at all times
• Test and try the working platforms such as HRM, CRM systems, ISO
• Recover admin duties when there was no admin personnel, translation works
Administration:
• Manage meetings and appointments: scheduling and setting up internal and external meetings including agenda management, minute taking, action tracking and relevant communication
• Organize and set agendas and action points for the meetings, review and draft policy, discuss business road map and strategies
• Provide general administrative duties including word processing, collating and preparing documents
• Participate in team meetings, other institute events and business trips, draft correspondences
• Remind for actions like payment approvals, meetings and etc. as he has hectic schedule
Sales, Marketing and Business Development:
• Assign sales leads from different sources such as vendors, website contact forms, enquires etc.
• Monitor sales records including deals, contacts, accounts and etc. and manage CRM platform, track sales progress
• Conduct regular sales reports and dashboards for analysis, check sales documents and assign PNs
• Attend sales meetings and take minutes, liaise with business partners and vendors
• Understand the sales needs and discuss with marketing team for eDMs
• Organize marketing events like, arrange brochure printing
Overseas offices:
• Research information and set up overseas offices upon advices from the consultants
• Record the accounting summaries and tall the documents of the overseas offices, liaise with the local banks
• Liaise with the overseas accountants and agencies for regular tax filing, ledger updating, invoice issuing and etc.
• Review and manage documents for any business procedures and applications if needed such as business report, audit etc.
Recruitment
• Gather the requirement for the positions (mainly sales managers and project managers) and liaise with internal and external resources for recruitment
• Act as a contact point to the agencies and the candidates for interviews
Requirements
• 5 years' or above experience in an executive assistant, or in other secretarial position
• Experience in the IT industry or a global corporate
• Degree or above level is highly desirable
• Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
• High proficiency in Cantonese and English and Mandarin
• Excellent written and verbal communication skills
• Exemplary planning and time management skills; attention to detail and problem-solving skills; high flexibility mindset
• Proactive and preemptive nature to manage a volatile and dynamic environment and work independent
