The role offers a unique opportunity to provide high-level administrative support to our Executive Office team in Hong Kong. As a proactive and organized individual, you will be responsible for coordinating complex meetings, managing calendars, and ensuring seamless communication with senior business leaders.
Key Responsibilities
• Provide administrative support to senior executives, including coordinating meetings, preparing correspondence, and managing calendars.
• Coordinate complex internal and external meetings, conference calls, and travel arrangements.
• Interact with high-level business leaders, clients, and stakeholders in a professional and effective manner.
• Prepare and distribute divisional correspondence, reports, and other documents as requested.
• Maintain complex and detailed calendars, prioritize meeting requests, and manage logistics.
• Ensure understanding of firm policies and handle certain issues independently.
• Coordinate domestic and international travel arrangements, process expense reports, and manage local expenses.
• On-board new hires, process employee transfers, and manage administrative duties.
• Participate in general administrative duties, ad-hoc projects, committees, and group events.
• Coordinate and assist in planning social or work events for the department.
Requirements
• Minimum 2 years of administrative assistance and office management experience.
• Excellent interpersonal and communication skills.
• High attention to detail and ability to maintain high standards despite pressing deadlines.
• Ability to solve problems quickly and efficiently, handle confidential information, and work in a high-pressure environment.
• Self-starter with excellent anticipation skills, problem-solving, and follow-up abilities.
• Demonstrated dependability, sense of urgency, and high degree of integrity and confidentiality.
• Strong organizational skills and ability to prioritize tasks in a deadline-driven environment.
• Proficient in using document, spreadsheet, and presentation software.
Preferred Qualifications
• Prior experience in an international environment or multinational corporation.
• Business management skills, including word processing, spreadsheet, and simple presentation.
